KWLC Operations Assistant


About the Role:

We are seeking a highly organized and detail-oriented Operations Assistant to support the day-to-day operations of our small landscaping company. This role will be responsible for a variety of administrative tasks, including client communication, scheduling, data entry, and assisting with project management. Regular schedule Monday through Friday - 8am - 430pm with a half hour paid lunch.

Responsibilities:

  • Client Communication:

    • Answering phone calls and emails, providing information and directing inquiries.

    • Scheduling appointments and coordinating client meetings.

    • Maintaining client records and databases.

  • Project Management Support:

    • Assisting with scheduling and coordinating projects.

    • Tracking project deadlines and progress.

    • Preparing reports and presentations.

  • Office Management:

    • Managing office supplies and inventory.

    • Maintaining a clean and organized office environment.

    • Greeting visitors and providing general office support.

  • Data Entry and Record Keeping:

    • Entering and maintaining accurate data in company databases.

    • Filing and organizing documents, both physical and digital.

    • Processing invoices and payments.

  • Other Duties:

    • Assisting with payroll and other administrative tasks as needed.

    • Supporting the team with various tasks to ensure smooth operations. 

  • Handling accounts payable (A/P) and accounts receivable (A/R)

  • Handle workers Comp and General Liability Audits

  • Technical and Software Skills:

    • Quickbooks Online, Service AutoPilot, Slack

Qualifications:

  • High school diploma or equivalent.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Excellent communication and interpersonal skills.

  • Strong organizational and time-management skills.

  • Ability to work independently and as part of a team.

  • Experience in a similar role, particularly in the landscaping or construction industry, is a plus. 

  • Prior sales experience.

Compensation:

Hourly pay commensurate with experience, along with a generous commission structure from inbound sales.
